Retrieve Submitted Applications

Grants.gov allows grantors to retrieve and download the applications submitted to your agency.

How to Retrieve Submitted Applications

  1. From the Grantor menu or the Grantor Center page, click on the Retrieve Submitted Applications link. You will be directed to the Retrieve Submitted Applications page.

  2. Use the Search By and Sort By boxes to tailor the search for applications.

    • Items in the Search By drop-down menu include All, CFDA, Opportunity Number, Competition ID, Grants.gov Number, Program Name, Submitter, Received Date, Submission Method, Submitter's State, Active Exclusions, and Debt Subject to Offset.

    • Items in the Sort By dropdown menu include CFDA number, Opportunity Number, Competition ID, Grants.gov Number, Program Name, Submitter, Received Date, Submission Method, Submitter's State, Active Exclusions, and Debt Subject to Offset.

  3. Click the Search button. The search results will include the following information about submitted applications: CFDA number, Opportunity Number, Competition ID, Grants.gov Number, Program Name, Submitter, Date/Time Received, Submission Method (Workspace, Workspace (Mobile), PDF, S2S and Third Party S2s), Submitter's State, Active Exclusions, and Debt Subject to Offset.

    Informative status

    Note: The Active Exclusions and Debt Subject to Offset fields are captured at the time of submission on the Retrieve Submitted Applications page. Use the Organization Report to view the current status.

  4. Select the row(s) of the application you want to download. Once you have selected the application, the Download Application(s) button will be enabled.

  5. Click the Download Application(s) button. You will be directed to a second Retrieve Submitted Applications page that displays the applications you selected to download.

  6. Click the Download Applications button.

  7. Verify that the application downloaded properly to your computer and then click the Acknowledge Completion of Download button. This will return you to the Retrieve Submitted Applications page, where the application will no longer appear.

Note: If you click the Open button without first saving the application, the zip file will appear empty. You must save the application before opening it.

Informative status

Note: Agencies have the ability to download submissions that are in Validated status up to 5 years* after submission. However, once a submission has been acknowledged by the Agency (Received By Agency status) that submission can only be downloaded from the View All Submitted Applications section.

*The application purge period was increased from 180 days to 5 years on October 20, 2015, so all applications submitted on or after April 22, 2015 will be stored for 5 years. All applications submitted before April 22, 2015 have been deleted under the previous 180 day purge period.
